Approvals and corrections

Correct an expense at the stage it is actually in

Choose a correction path that preserves the original record and avoids creating a second claim after submission.

Choose a correction path that preserves the original record and avoids creating a second claim after submission.

You notice the wrong currency, a receipt attached to the wrong line or a mistaken category. Before fixing it, establish the record’s current stage. A draft correction, a reviewer-requested amendment and a paid-report adjustment have different consequences. The safest useful action starts with the existing record, not a fresh copy of the claim.

Write the correction in one sentence

State what is wrong, what the correct information is, and which evidence supports the change. For example: “The taxi line shows 34 USD; the original receipt is 34 CAD, so the currency needs review.” This fictional example records the discrepancy without guessing how the employer handles conversion.

Keep the expense or report reference and any relevant reviewer comment. If the change affects the amount payable, say so clearly. Do not obscure the old error by replacing a receipt with an unrelated document or changing the purchase date to match a convenient accounting period.

If the expense is still in a draft

Professional’s draft-editing guide describes editing the existing line and changing or adding its receipt. Use that supported path when it matches your product and permissions. After saving, reopen the line to check that the change persisted and the evidence is attached to the intended expense.

Review dependent fields too. A corrected currency can affect your understanding of the total. A category change can expose different required fields. Replacing the receipt may reveal that the amount also needs correction. Use the receipt evidence check to compare the complete saved line with its source.

If the report was submitted but not yet reviewed

The official Professional recall guide describes moving a report back to drafts before approver review. It also says that once the approver has viewed it, the submitter should contact them for a return or inquiry. A missing Recall option is therefore not a reason to recreate the report.

These are Professional conditions, not a universal feature promise. For another product, use its official instructions and your organization’s process. If recalling is available and appropriate, understand that the report must be corrected and submitted again through the required workflow; an earlier submission event does not prove the revised version is in review.

If a reviewer is already working on it

Send the precise correction to the assigned owner. Ask which supported route they want you to use, and avoid parallel changes while they are reviewing the same record. Professional’s mobile approval guide describes returning a report to the submitter for amendments. Follow the actual return or inquiry rather than assuming an informal chat reopened editing.

A useful message is: “Please hold review of [reference]. Line [identifier] has [specific error]. The supporting document shows [correction]. Can you return it or open the appropriate inquiry so I can amend the existing record?” Send only through the approved internal channel.

If it has been processed or paid

Ask finance to determine the adjustment path. Do not submit a negative expense, create an offset, repay money or generate a second positive claim on your own initiative. The correction may involve accounting records or a payment process outside your permissions. State whether money has actually been received and keep any existing case reference together.

In a fictional case, Theo discovers that a paid report included one supply purchase twice. He reports the two line references and supporting receipt to finance. He does not delete his copy of the record and assume that reverses the payment. Finance must explain the authorized correction and any repayment instructions.

Preserve the right record

The Professional actions reference distinguishes deletion, moving to the Wallet, copying and other operations. These actions are not interchangeable. Use the duplicate guide when the issue is two records for one purchase; do not treat a copy action as a general-purpose repair.

Finish with a before-and-after check: correct line, correct evidence, correct totals, and confirmed resubmission or handoff. Record who owns any remaining step through the approval handoff checklist. The repair is complete when the responsible workflow accepts the corrected record, not merely when the visible text looks better.
